Job Summary
- To oversee all front office and secretariat activities. To qualify you must have excellent communication skills, apt etiquette grooming, friendly disposition, and good people skill.
Responsibilities
- Greet guests and provide them with superb customer service.
- Ensure the front desk is neat, presentable, and equipped with all the necessary supplies such as pens, forms, and paper.
- Answer all client questions and incoming calls.
- Redirect phone calls to the appropriate department and takedown messages.
- Accept all letters and packages, and distribute them to their appropriate departments.
- Monitor, organize, and forward emails.
- Track and order office equipment and supplies.
- Maintain records and files.
- Attend to other duties as assigned
- Manage large amounts of incoming phone calls
- Generate sales leads
- Identify and assess customers’ needs to achieve satisfaction go
- Build sustainable relationships and trust with customer accounts through open and interactive communication
- Provide accurate, valid, and complete information by using the right methods/tools
- Meet personal/customer service team sales targets and call handling quotas
- Handle customer complaints, provide appropriate solutions and alternatives within the time limits; follow up to ensure resolution
- Keep records of customer interactions, process customer accounts, and file documents
- Follow communication procedures, guidelines, and policies
- Take the extra mile to engage customers
Requirements
- B.Sc Degree in relevant qualifications
- 2-3 years Experience in the same role in a financial Advisory Service Company
- Must have graduated with a minimum of Second Class Upper Division
- Proven customer support experience or experience as a Client Service Representative
- Track record of over-achieving quota
- Strong phone contact handling skills and active listening
- Familiarity with CRM systems and practices
- Customer orientation and ability to adapt/respond to different types of characters
- Excellent communication and presentation skills
- Ability to multi-task, prioritize, and manage time effectively
- Good understanding of office administration and basic bookkeeping practices.
- Superb written and verbal communication skills.
- Excellent organizational and multi-tasking abilities
- Strong knowledge of MS Office programs.
- You should have a talent for multi-tasking, with excellent communication and organizational skills.
